A readable barcode can still identify the wrong thing
A warehouse scanner can read a label perfectly and still receive the wrong size, allocate the wrong seller's stock, or send a carton to the wrong shipment. Barcode quality and identity are separate checks. Before printing labels in China, decide what each identifier represents and which system is allowed to assign it.
Start with a crosswalk covering the sellable variant, seller SKU, product identifier, marketplace identifier and logistics unit. Keep the human-readable description beside these fields so an operator can investigate a mismatch without guessing from a numeric string.
Separate product, marketplace and shipment identities
| Identifier | What the warehouse should establish | Common confusion |
|---|---|---|
| Seller SKU | The merchant's specific stock-keeping variant | Assuming two sales channels use the same SKU |
| GTIN represented in an EAN or other supported barcode | The identified trade item and packaging level | Treating barcode appearance as proof of correct product identity |
| Amazon barcode, often called an FNSKU label in prep workflows | The marketplace-specific inventory identity required for that offer | Assuming every item with a manufacturer barcode qualifies without relabeling |
| SSCC on a GS1 logistics label | The individual logistics unit, such as a pallet | Reusing a product barcode as a unique pallet identity |
| Carrier or marketplace shipment label | The particular shipment or parcel movement | Leaving a previous shipment's active label visible |
GS1's logistics-label guidance explains the role of the SSCC. A product barcode repeated across identical units serves a different purpose from a serial identifier assigned to one logistics unit. A warehouse should not invent an allegedly GS1-compliant number without confirming the identifier's legitimate allocation.
Check Amazon eligibility against the current rule
Amazon changed barcode requirements for inventory shipped on or after March 31, 2026. Its official announcement distinguishes eligible brand owners with the Brand Representative selling role in Brand Registry from resellers without that role. Eligible brand owners can use existing manufacturer barcodes under the stated conditions; those resellers must use Amazon barcode stickers. Products without manufacturer barcodes require Amazon stickers in either case.
That distinction makes an old blanket instruction such as “use the EAN whenever one exists” unsafe. Obtain the seller's current listing and shipment instructions, confirm role and product eligibility, and freeze the approved label file for that shipment. The warehouse should not infer account eligibility from the packaging or a supplier's assurance.
Approve the mapping before approving the print
Consider an illustrative order containing black shirts in medium and large. The supplier calls both products “black shirt,” while the merchant uses TS-BLK-M and TS-BLK-L. If the spreadsheet accidentally maps both rows to the medium variant, a perfect print run creates a systematic error.
Use a small physical trial. Scan the supplier's product label, open the receiving record, compare the actual size and variant, then scan the proposed outbound label against the channel's expected item. Someone other than the spreadsheet preparer should approve the first label of each changed variant. Retain the mapping version with the purchase order and prep instruction.
Useful acceptance checks include these:
- The code resolves to the intended variant and packaging level.
- The readable text matches the approved file and actual item.
- Placement remains scannable after the final bag, carton or protective wrap is applied.
- Old or conflicting machine-readable labels are handled according to the destination's instructions.
- The finished unit passes a scan using the equipment employed in the actual workflow.
Keep relabeling traceable
Record the original identifier, replacement identifier, quantity, reason and operator approval. A label replacement should not silently create new sellable inventory. Keep damaged labels, unidentified stock and disputed mappings in an exception state until the merchant resolves their identity.
For mixed cartons, verify the relationship between the contents and outer shipment label after packing. An accurate carton label does not prove that every unit inside is correct. Conversely, correct unit labels cannot rescue a carton assigned to the wrong shipment.
Release a version, not an informal screenshot
The final handoff should contain the approved mapping, label files, placement instruction and scan-test result. State which shipment or replenishment batch the approval covers. A later listing change, variant split or marketplace instruction requires a new review rather than automatic reuse of the old artwork.
This approach gives the receiving team a clear stop condition: when the physical product, system identity and printed label disagree, hold the affected quantity and resolve the mismatch before dispatch.
