Beauty and cosmetics fulfillment from China should preserve product identity, batch information and the handling conditions approved for that product. A general statement that cosmetics need a cool warehouse does not define a usable temperature range or establish that a particular facility can provide it.

Confirm the product, destination and accepted service before receiving stock. Liquid, aerosol, flammable or otherwise restricted formulations may need additional transport and handling review.

Obtain an acceptance dossier

Record product name and variant, manufacturer, formula or model reference where relevant, batch coding, packaging, approved storage instructions and destination information. Keep the commercial description consistent with the physical product.

Obtain the relevant classification and transport information from the responsible qualified parties. A safety data sheet can be part of the evidence, but its presence alone does not establish acceptance by every carrier or route.

Separate ordinary cosmetics from products whose claims or intended use may place them in another regulatory category. The warehouse should not decide that question from a retail name or photograph.

Approve labels with the responsible party

The FDA’s Cosmetics Labeling Guide describes the US framework for covered cosmetic labels. The physical check should compare goods with approved artwork and required information, rather than asking warehouse staff to draft legal wording.

FDA’s current MoCRA overview also distinguishes responsible-person and facility obligations, including applicable registration, listing and safety-substantiation requirements. Determine the actual parties, activities and exemptions; do not assume all warehouse services have the same status.

US requirements should not be generalized to other destinations. Keep market-specific approved label versions and prevent a visually similar unit from being released with the wrong version.

Define storage conditions product by product

Use manufacturer-approved limits and handling instructions, including any conditions affecting stability or packaging integrity. Decide what evidence the operation must retain and what action follows a suspected excursion.

Temperature-controlled storage is a separate capability that requires verification and acceptance. It is not implied by FulfillNexa’s ordinary ecommerce warehouse role, and no universal cosmetics temperature range is claimed here.

Review leakage and incompatible-product risks at receipt. Damaged closures, uncertain seals or contaminated cartons should remain under an approved hold rather than being wiped clean and released without assessment.

Control batches and remaining shelf life

Preserve batch identifiers and any applicable expiry information through receipt, storage, picking and dispatch. Agree the acceptable remaining-life rule with the product and channel owners.

For an illustrative order, lot A has earlier expiry but is held for a leakage investigation, while lot B is later-dated and approved. An expiry-based picking rule must not override the hold. The system needs both condition and date information.

The GS1 Global Traceability Standard provides a reference for maintaining product and event relationships. The actual process should allow a batch to be connected to received stock and affected orders.

Pack and resolve returns within the accepted scope

Use the approved closure protection, separation and transit pack. Confirm that additional labels or tape do not obscure required product information or change the intended retail unit.

Returned products need a product-specific disposition. Opened packaging, uncertain handling history or a suspected adverse event can change what work is permitted. Do not make every cosmetically intact unit automatically saleable.

Maintain a route for reporting safety or quality concerns to the responsible business. The warehouse’s record should identify the product and batch without inventing a technical diagnosis.

The final release should rest on approved identity, label, condition and route information. Those controls make cosmetics fulfillment workable while keeping stability, safety and regulatory decisions with the parties responsible for establishing them.
