A supplier can finish production before a shipment is ready for collection. Final packing, quantity checks and the agreed documents may still be outstanding.

For a China-origin movement, the cargo-ready update should distinguish these states. A purchase team needs to know whether goods exist, whether the shipment configuration is final and whether a vehicle can collect the named units from the named address.

Use a readiness record with four independent answers

Ask whether the goods are complete, the final packing is complete, required preparation is approved and the commercial file is ready for handover. A single supplier message may answer only the first question.

For each remaining task, record its owner and the evidence expected. The final packing answer should include the handling-unit count, closed dimensions and gross weight. The document answer should identify the approved invoice and packing-list revision.

Calculate a preparation allowance

Assume a hypothetical lot of 24 cartons. Closing and checking them is budgeted at five minutes each, and final document reconciliation at 30 minutes. At a selected US$24/hour internal labor input, the model gives (24 × 5 + 30) ÷ 60 × $24 = $60. If the cartons also require an assumed $1.10 each of additional packing materials, the preparation allowance becomes $86.40.

Those quantities, times and prices are invented inputs for explaining the method. They are not a warehouse capacity statement, a packing tariff or proof that the lot can be made ready in a fixed time.

Match the release point to the proposed movement

Direct parcels can be released order by order when the merchant has authorized that arrangement and each parcel is ready. A consolidated air booking needs the agreed lot and data to meet the provider's acceptance cut-off. Ocean replenishment also requires the final handling configuration to fit its booking and terminal plan.

Before comparing those options, identify which task is actually holding the goods. If packaging is unfinished, obtain the completion decision and re-measured configuration. If documents are unresolved, send the questions to the document owner. A transport-mode change should follow an updated brief rather than being used as a general response to every delay.

Collection instructions should name a dispatchable configuration. Mark preliminary quantities as preliminary and reconcile them before release. That gives the driver, warehouse and buyer one description of what is expected at the handover.
