A stock correction solves a number mismatch only for the moment. Without an explanation, the same discrepancy can reappear in the next count.
Shopify records inventory adjustments and supports adjustment reasons. The useful operating record connects the change to the event that justified it, such as a physical count or a documented receiving correction.
Investigate the movement before changing the balance
Take a fresh count under the agreed process and check open picks, transfer records and recent receipts for the affected item and location. A difference caused by an unfinished movement needs that movement reconciled; it should not automatically become a loss adjustment.
The adjustment request should preserve the old system quantity, verified physical quantity, unit of measure, reason, supporting record and approver. Where two systems synchronize, identify which one originates the correction.
An audit-work budget, not a loss statistic
Assume 25 locations require four minutes of checking each, with another 20 minutes to reconcile movement records. At a chosen US$23/hour internal cost, the task model totals $46. If three exceptions each need ten more minutes, the model rises to $57.50.
Separately, suppose a hypothetical confirmed shortage is two units with an illustrative book cost of $8 each. The $16 inventory value is a different measure from the $57.50 investigation budget. Add neither to a freight invoice without its actual commercial basis.
Keep route stock in the right state
| Stock purpose | Check before adjustment |
|---|---|
| Direct-parcel orders | Whether units are already reserved or physically at a packing station |
| Interwarehouse transfer feeding an export lot | Whether the origin dispatch and destination receipt refer to the same transfer |
| Overseas replenishment preparation | Whether units have moved into an identified outbound pallet or carton |
An allocation for a future sailing should not erase a quantity still physically present. Conversely, a collection record should not leave dispatched units indefinitely available on the original shelf.
Once the owner approves a correction, confirm that it reaches the merchant-facing stock view once, with the intended reason. Preserve the evidence even if the final outcome is no adjustment. It explains why the discrepancy was closed and helps distinguish a count correction from a repeated process failure.
