A hold flag can stop an order from progressing, but it cannot decide what evidence is sufficient to release it. That decision needs an owner before the warehouse begins picking.

Shopify documents fulfillment holds as a way to pause eligible fulfillment work. For a seller using a separate warehouse system, the useful question is whether the hold is visible at the point where work is assigned. A note that stays only in customer service cannot reliably govern a pick queue.

Give each hold a completion test

Use a reason specific enough to assign an action. For an address hold, completion means approved shipping data and a usable current label. For a payment review, the merchant decides whether the order may proceed. For a stock discrepancy, the warehouse reports the physical result and the merchant decides how to fulfill the balance.

The handover should show the order reference, current work stage, hold owner and next review time. Avoid putting sensitive payment information into a warehouse note.

Compare the route's stopping points

Point in the planControl to confirmLimit
Direct parcel still on the packing benchThe hold reaches the active pick-and-pack taskA storefront flag may not have reached an external system
Parcel in an acknowledged carrier handoverWhether that carrier offers an applicable intercept processWarehouse release controls no longer establish custody
Consolidated export lot before dispatchWhether the affected units can be separated and documents revisedHolding one order must not leave the released lot's quantities wrong

A later cut-off is not permission to keep an unresolved order in the release batch. Decide which physical units can move and which must remain identifiable.

Budget for the actual hold work

Consider a hypothetical day's 18 address reviews at six minutes each. At an assumed US$20 per labor hour, the review allocation is 18 × 6 ÷ 60 × $20 = $36. If five orders also need a three-minute label correction, that adds $5, bringing modeled handling to $41. Neither review time nor hourly input is a claimed operating benchmark.

A carrier intercept charge, when applicable, belongs on a different line supported by that carrier's confirmation. Do not include a guessed intercept success rate or treat the handling budget as compensation for a delayed order.

Before releasing the hold, the owner should check the current order version, the physical parcel and the disposition of any obsolete label. Record the release acknowledgment from the warehouse. Closing the customer-service conversation is useful communication, but the warehouse acknowledgment is the evidence that its task changed.
