A refund can be financially complete while the returned item is still traveling or waiting for inspection. Treating those events as one step can put unusable stock back on sale.
Shopify distinguishes returns, refunds and exchanges in its order-management guidance. A warehouse procedure should give each event its own record, even when the merchant's platform connects parts of the workflow.
Give finance and receiving different completion fields
The refund record should say what payment action was approved. The receiving record should say which item arrived, what was inspected and what disposition is authorized. Linking both to the original order lets the merchant see progress without treating a financial action as a physical event.
- Assign a return reference before arrival.
- Check item identity and actual received quantity.
- Record observable condition under the approved inspection scope.
- Ask the merchant to decide the disposition of exceptions.
- Move accepted saleable units into the correct available-stock location only after approval.
Work through a mixed return lot
Assume, solely as an example, that 20 units arrive: 14 are approved for resale, four need an unresolved review and two are approved for a separate disposition. Available stock increases by 14, not 20. If inspection is budgeted at six minutes per unit with an assumed US$20/hour labor cost, the inspection model is $40.
Suppose only the 14 approved resale units need a new bag costing an assumed $0.40 and two minutes of work each. That adds about $14.93, producing $54.93 of modeled inspection and repacking work. It excludes refund amounts, transport and any disposal or specialist fees. These are hypothetical inputs, not observed return rates or a customer case.
Compare the return journey before issuing a label
A domestic return to an agreed destination facility may allow a local inspection under that facility's confirmed service scope. A cross-border return to China adds transport acceptance and customs questions. For low-value goods, the merchant may consider other lawful dispositions, but this should be an authorized commercial decision rather than a warehouse assumption.
Ask each proposed provider to state receiving scope, inspection method and which resulting records will be returned. A cheaper return label is not a complete comparison if the destination cannot perform the inspection needed to release the stock.
