A clean outer carton can hide a missing component or a used product. The condition record should describe the item received, not just the package it arrived in.

Shopify's returns guidance separates receipt, inspection and the financial outcome. For warehouse handling, the seller should define what makes a returned unit eligible for resale before operators begin assigning grades.

Define checks that support a disposition

For each product type, ask the merchant to approve the inspection scope. A visual review can record identity, completeness, packaging condition and visible defects. Functional testing needs its own qualified method and authority.

Keep the observed condition separate from the merchant's commercial grade. An operator should be able to explain what was seen without having to decide a customer's refund entitlement.

  1. Match the return to its reference and expected SKU.
  2. Count the received units and required components.
  3. Record the agreed checks and exceptions.
  4. Send uncertain findings to the named decision owner.
  5. Move stock only under the approved disposition.

Model a lot with several outcomes

Consider 30 fictional returns. Assume 18 qualify for an approved resale process, seven need further review and five require a different authorized disposition. None of those proportions is a reported return statistic.

At an assumed seven minutes per inspection and US$22/hour labor input, the inspection budget is $77. If the 18 approved resale units need $0.60 of replacement material and three minutes of work each, that adds $30.60. The modeled total is $107.60 before transport, testing and other disposition charges.

The worksheet helps the merchant see which tasks create cost. It cannot establish that resale is lawful or suitable for a specific product.

Compare receiving services, not just return labels

A local destination return route can be compared with a cross-border return to China only after the inspection and disposition scopes are defined. Ask whether each provider can identify the same product variants, produce the required evidence and hold exceptions separately.

If one route offers only unopened-box receipt, it should not be compared as if it includes the same inspection as another route. The merchant needs the actual accepted scope and a separate transport assessment for regulated goods. Keep any unresolved unit out of available stock until its own decision is recorded.
