An order may have a complete delivery address in Great Britain and still lack an agreed importer. That gap cannot be repaired by adding the warehouse's contact name to every document.
The UK government's import guide sets out the need for a GB EORI for importing into England, Wales or Scotland, alongside classification and customs-value work. Northern Ireland follows distinct arrangements and should not be folded into a generic UK instruction.
Resolve identity at the order stage
For a Great Britain commercial import, confirm the relevant importing entity and its GB EORI with the responsible party. Treat Northern Ireland as a separate routing and customs question. Do not infer the applicable setup from a general United Kingdom selection in a sales form.
A practical file should distinguish seller, buyer, importing entity, broker and physical delivery contact. The same business may perform several roles, but each role needs explicit agreement.
- Obtain the legal importing name and the intended delivery location.
- Ask the importer or representative to confirm the required reference and authority.
- Match that information to the commercial documents.
- Resolve discrepancies before issuing the final collection instruction.
Calculate preparation work separately from import charges
Take an invented four-SKU file. Assume ten minutes to resolve each SKU's description and 25 minutes to reconcile party details. At a selected internal cost of US$24/hour, the task budget is (4 × 10 + 25) ÷ 60 × $24 = $26. If a changed consignee requires another 15-minute review, modeled work becomes $32.
This says nothing about UK duty, VAT, an EORI application charge or a broker tariff. Those must be assessed from current rules and the actual service arrangement. The USD unit here is simply the worksheet currency.
Do not combine distinct delivery plans
Direct parcels need the selected parcel service's confirmed tax, declaration and recipient-data arrangements. Bulk replenishment to a Great Britain warehouse needs an agreed commercial importing and receiving plan. An onward movement between the EU and the UK creates another border question; an EU warehouse address should not be substituted into a UK import file.
For comparisons, give providers the same origin, products, final pack and destination scope. Ask them to identify who handles each customs step and which charges are included. Preserve the named Incoterm and place where agreed, while obtaining any separate service instructions needed to make that agreement executable.
