Product eligibility comes before warehouse selection
Sending an Etsy order from a China warehouse does not establish that the product is eligible for Etsy. The first decision concerns what the seller actually creates, designs or sources under Etsy's permitted categories. Logistics arrangements come after that decision.
Etsy's dropshipping and reselling guidance says ordinary ready-made dropshipping is not allowed, with limited exceptions such as permitted craft and party supplies. Its Creativity Standards define the relevant product categories. Generic wholesale goods do not become an eligible handmade product because the seller adds a thank-you card or arranges branded shipping.
Create an eligibility record for each product family
Keep a short record explaining the product's basis for sale. Attach the original design or other evidence relevant to its category and identify who makes the physical item. Do not rely on a supplier's statement that its goods are “Etsy friendly.”
For an original illustration printed on a product, the useful record includes the seller's design, approved production specification and relationship with the producer. For sourced craft supplies, check the actual category requirements instead of describing them as handmade. Vintage and other permitted categories have their own conditions; they are not a general exception for modern resale.
This record should answer three questions clearly: what did the seller contribute, which permitted category applies, and what evidence supports that classification? If the answer is uncertain, resolve it before purchasing stock or accepting orders.
Separate a production partner from a fulfillment provider
Etsy's production-partner guidance addresses third parties that physically produce items based on the seller's original designs or qualifying buyer customization. Applicable partners must be disclosed, and listings must accurately represent the arrangement and shipping origin.
A warehouse storing and dispatching finished goods does not automatically become the product's production partner. Conversely, calling a manufacturer a warehouse does not remove the need for accurate disclosure. Map the actual activities performed by each business rather than using whichever label seems easiest.
An illustrative seller designs a distinctive notebook cover and contracts a printer to manufacture it. A separate warehouse stores the finished notebooks and mails orders. The printer's production role and the warehouse's dispatch role should remain distinguishable in the seller's records. This example does not approve any particular listing; its facts still need to meet Etsy's current requirements.
Set up stock and personalization without guesswork
Keep the design revision and physical variant visible in the receiving record. Similar artwork can make two products look interchangeable while the buyer ordered a specific version. Retain an approved reference image and a clear process for damaged or incorrect prints.
For personalized items, separate confirmed buyer instructions from production notes. Agree how spelling, layout and approval changes move from the order to the producer. A fulfillment provider should not invent missing personalization or substitute an unapproved variant to clear an order queue.
Use a hold state for incomplete instructions. Decide who contacts the buyer, who authorizes a correction and when the order can be released. Those decisions are more useful than a generic promise that every personalized order will dispatch within the same interval.
Make the shipping promise match the actual origin
Use the real dispatch location and a processing window that reflects production, receiving, preparation and carrier availability. Test the intended route with representative package dimensions. Customs and destination requirements remain separate from Etsy product eligibility.
Check the complete customer-facing sequence before launch:
- Listing origin and processing information reflect the actual arrangement.
- Order data identifies the correct item, design revision and personalization.
- Tracking is attached to the correct order and becomes usable through the chosen service.
- Buyers receive accurate information when an order is held or delayed.
- The seller has a workable process for damage, misprints and delivery problems.
Plan after-sales handling before accepting sales
Decide who pays for a replacement, where a permitted return can be sent and how a disputed item is documented. FulfillNexa's overseas delivery points are not return or inspection warehouses. A seller needing destination-country returns must appoint a suitable separate arrangement and verify its acceptance conditions.
Keep product eligibility evidence, production instructions and shipping records connected to the listing. When a design, producer or dispatch location changes, review the affected listing and workflow together. Faster fulfillment cannot compensate for an ineligible product or an inaccurate description of how it was made.
