A readable label can still describe the wrong parcel

Small-parcel labeling has three jobs: identify the delivery destination, identify the transport piece and support the required customs information. Passing a barcode scan checks only part of that work. A perfectly printed label attached to the wrong order creates a valid-looking shipment that goes to the wrong buyer.

Control the association between the order, sealed package and printed label. Print at the packing station or use a verified batch-to-parcel method. Require a deliberate check when a label is reprinted, a package is repacked or the carrier product changes. Keep obsolete labels out of the release area.

Validate addresses without inventing them

Use the selected carrier's destination fields and postcode rules. Preserve the buyer-approved country, region, locality and building or unit information. A transliteration or formatting tool should not silently remove an apartment number or replace a locality with a more familiar city.

When validation reports uncertainty, hold the order for correction or confirmation through the merchant. Record the change and its authorization. A plausible address suggested by software is not proof of where the buyer lives. Confirm required phone or contact data through the approved customer process and avoid printing unnecessary personal information.

Treat customs information as structured data

The UPU customs programme explains electronic advance information in postal flows. A paper declaration alone may not satisfy the selected service's transmission requirements. Ask the operator what data it needs, how submission is acknowledged and how rejected records are corrected.

Use a meaningful goods description, accurate quantity and value, and the required origin and classification information. “Accessories” or “gift” does not adequately describe a normal commercial sale. Keep tax-scheme or importer identifiers in the required protected fields rather than exposing them unnecessarily on the customer-facing label.

CN22 and CN23 are postal declaration formats, not universal labels for every China export. Confirm which current form and electronic process the origin operator requires for that product and destination. A courier may use a commercial invoice and its own electronic shipment record instead. The UPS commercial-invoice guidance provides an official example of those distinct document requirements.

Use the required label size, resolution and layout for the actual service. Do not shrink a downloaded label until its barcode becomes unreliable, stretch it to fill a different roll or add promotional artwork over reserved areas. Verify the printer's output rather than judging only the PDF on a screen.

Place the label on a suitable flat area, away from seams, edges and closures where opening or handling can damage it. DHL's packing-with-care guidance illustrates these practical placement checks. Remove old transport labels and keep the current barcode unobstructed.

Check the package material too. A wrinkled polybag, glossy wrap or heavily curved tube can distort a label that scans well on a flat bench. Test the packed configuration under normal handling. A spare identification record inside can help recovery where the service permits it, but it does not replace the external label.

Release with a three-way match

At the final check, compare the order reference, parcel contents or approved packing record, and carrier identifier. Verify the destination and service code before the parcel enters the collection cage. Separate carriers and products physically so a correctly labeled carton does not travel in the wrong batch.

Record packed weight and dimensions after sealing. If the label or manifest contains those fields, update them through the supported process when packing changes. Do not preserve an earlier lightweight estimate merely because a label has already been paid for.

Handle reprints as controlled exceptions

A reprint should identify whether the same valid shipment number is being reproduced or a new shipment is being created. Close or cancel unused numbers under the provider's process and update the storefront when required. Two labels on one package can create conflicting scans; two active package records can create conflicting customer expectations.

Keep sample scan results and a simple printer-maintenance record. Recurring unreadable labels are a process defect, not a reason to ask the carrier to manually rescue every batch. The final aim is a parcel whose identity, destination and declared contents remain consistent from the packing bench through import and delivery.
