A cross-border returns playbook should assign three owners: the person deciding the customer remedy, the party receiving the goods and the party responsible for the transport and customs arrangements. Those responsibilities often sit with different organizations.
The right route depends on product condition, location, customer rights, recoverable value and available receiving arrangements. “Send it back to China” is a possible outcome, not a complete policy.
Start with the customer’s entitlement
Identify the sales market, channel and reason for return before choosing a logistics route. A defective product, a buyer’s change of mind, a wrong item and a possible recall can require different responses.
For EU distance sales, the European Commission’s withdrawal guidance explains the general 14-day right and exceptions. Review the actual transaction and applicable local requirements; do not use a logistics cost calculation to deny a customer remedy that is owed.
Capture the relevant dates, communications and evidence without forcing the customer through unnecessary repeated requests. Keep the seller’s commercial approval separate from the warehouse’s physical assessment.
Open one authorization record
The return record should contain the customer order, SKU and variant, quantity, reported problem, supporting evidence, approved remedy and planned receiving route. Record the decision-maker and any unresolved product restrictions.
Give the returned parcel a reference the receiving party can match. Explain what the customer should include and which items should not be shipped without further instruction. Batteries, leakage, contamination and uncertain identity may require specialist review.
An authorization is not a blanket declaration that every returned item is safe to transport. The accepted product and route need their own checks.
Choose a route from the actual options
| Route | Decision that must be resolved |
|---|---|
| Refund without physical return | Is that remedy permitted and commercially approved? |
| Eligible marketplace recovery | Does the program accept this stock in this market? |
| Independent destination receiver | Has the seller appointed a lawful receiver with an agreed scope? |
| Return to China | Are transport, receiving and import arrangements accepted? |
Destination delivery coverage does not establish a returns address. FulfillNexa’s points outside China do not receive returns or goods for inspection. Any independent local route must be arranged separately; it is not an extension of those delivery points.
Amazon’s Grade and Resell description illustrates one marketplace-specific recovery route. Its eligibility cannot be generalized to non-Amazon sales or other destinations.
Compare future recovery on the same boundary
An illustrative return has an expected resale recovery of $30 before reverse-logistics work. A China route requires $14 transport, $3 examination and $4 approved preparation, leaving $9 before any additional obligations. An available independent route might produce a different recovery with different costs and responsibilities.
Use confirmed quotes and product-specific assumptions in the real decision. Include the probability of an unsuccessful resale and the cost of goods that remain on hold. Keep the customer refund visible in the full business account while distinguishing it from costs that differ between future logistics options.
Safety, legal restrictions and ownership can make a route unavailable even when its modeled recovery is highest.
Receive, assess and authorize disposition
At the accepted receiving site, reconcile the authorization to the actual unit. Record missing accessories, condition differences and packaging damage. Hold the item until the approved assessment supports a disposition.
The seller or responsible owner should authorize restock, repacking, supplier return, specialist assessment or another permitted outcome. Maintain the correct condition and identity through any subsequent sale or movement.
Close the loop into the next order
Close a return only when the customer remedy, physical quantity and financial records have been reconciled. An item still awaiting a decision should remain visible as held inventory, not disappear behind a completed refund.
Feed verified reason codes back to product descriptions, supplier controls and packing instructions. A repeatable returns playbook should prevent the same avoidable confusion from traveling with the next parcel.
