Cross-border returns should be designed before the first order ships. The default instruction “send it back to China” can cost more than the recoverable product value, create a second customs event, expose customer data, and return an item that is no longer sellable. A useful policy routes each return according to product, condition, country, compliance, value, and available local options.

The customer-facing return promise, marketplace rule, physical return address, refund decision, warehouse inspection, inventory status, and customs treatment must describe one workflow.

Use a return decision tree

QuestionIf yesIf no
Is the product subject to a recall, safety hold, hygiene restriction, or dangerous-goods rule?Isolate and follow the approved compliance dispositionContinue to value and condition review
Is a local return address available?Route to local receipt and inspection where economicalCompare return-to-China with refund-without-return or local disposal
Can the item be identified and linked to the original order?Continue to condition gradingHold as unidentifiable; do not restock
Is it unopened, complete, undamaged, and legally resellable?Consider local or China restock under the approved policyConsider repair, parts recovery, liquidation, recycling, or disposal
Does recoverable value exceed total return cost and risk?Book the approved return route and customs procedureUse the lower-risk approved alternative

The decision should be documented by category. A garment, toy, electronic item with a battery, oversized component, and personalized product should not share one generic rule.

Calculate the full return cost

Include:

  • customer return label or collection;
  • local receiving and inspection;
  • storage while a decision is pending;
  • consolidation, repacking, export, and international transport;
  • customs declaration, potential duties or taxes, broker charges, and evidence requirements;
  • dangerous-goods or product-specific handling;
  • rework, relabeling, replacement parts, or cleaning where legally and operationally permitted;
  • value loss from opened packaging, damage, seasonality, or obsolescence;
  • reshipment or refund administration;
  • recycling or controlled disposal.

Do not count an import-duty relief until the actual goods and procedure qualify and the required evidence is available. Returned-goods provisions have specific conditions. For example, EU guidance links relief to Union goods returning within the rule's conditions and documentary evidence; that is not a blanket exemption for every consumer parcel. U.S. relief provisions also depend on the facts and documentation.

Use the landed-cost model to compare the complete return-to-China scenario with local recovery or controlled disposal instead of comparing postage alone.

Define condition codes a warehouse can apply

CodeObservable conditionDefault control
UnopenedOriginal seal intact and identity matchesHold for policy-approved restock decision
Opened completeSeal broken; item and all components presentInspect to approved scope; do not auto-restock
IncompleteAccessory, manual, part, or packaging missingQuarantine and price recovery options
DamagedProduct or packaging damage beyond the sellable standardPhotograph, isolate, and obtain disposition
Used or hygiene-sensitiveEvidence of use or category restrictionFollow category-specific safety and resale rule
UnidentifiableOrder, SKU, serial, or lot cannot be reconciledKeep out of sellable inventory

The warehouse reports observable condition; the seller owns the refund, resale, warranty, and marketplace decision unless another scope is explicitly agreed.

Preserve the customs evidence

If a return crosses a border, keep the original order, invoice, export or import reference, product identity, serial or lot where relevant, reason for return, condition evidence, refund or replacement record, and the new transport documents. The description and value for the return movement need a lawful basis; “returned goods, zero value” is not a universal answer.

Ask a broker or the relevant authority which procedure applies before dispatch. This is especially important when the goods were repaired, altered, used, replaced, or returned to a different party.

Choose the operating location intentionally

A destination-country return point can shorten the consumer leg and support consolidation, but it adds a local partner, storage, inspection, data, and disposition workflow. A China return may support supplier investigation or rework, but only when total economics and customs handling justify it. Marketplace-managed returns can simplify selected flows while leaving the seller responsible for refunds and customer coordination under the platform's rules.

If returns come back to the confirmed FulfillNexa Dongguan operation, onboarding should define whether the product is accepted, the condition codes, photograph standard, quarantine location, data fields, approved actions, and outbound disposition. The 8,000 m² Dongguan warehouse has a large operating floor and multiple loading bays and focuses on ecommerce warehouse management and one-piece fulfillment, including apparel and toys; this does not by itself confirm a return or refurbishment service for every product.

Frequently asked questions

Should every international return be sent back to China?

No. Compare customer experience, product value, local options, transport, customs, compliance, condition, and recoverable value. Refund-without-return, local consolidation, local restock, repair, recycling, or controlled disposal may be more appropriate for some products.

Are returned goods automatically duty-free?

No. Relief depends on the destination's law, the product's history and condition, the parties, time limits, procedure, and documentary evidence. Confirm the specific case before shipping.

Can a returned item go directly back into sellable inventory?

Only if the approved policy allows it after identity, condition, completeness, safety, hygiene, packaging, and compliance checks. Opened or unidentifiable goods should not be auto-restocked.

Who decides whether the customer receives a refund?

The seller or marketplace controls the customer and refund decision under the applicable policy. A warehouse can report condition and execute approved physical actions.

What data should a return request contain?

Include the original order, SKU, quantity, reason, customer country, return method, tracking, expected product identity, condition evidence, refund status, customs references, and the allowed warehouse disposition.
