FBA prep in China should turn supplier-finished goods into inventory that matches the current Amazon shipment plan and the requirements for each SKU. The safe workflow is to verify product data, receive and reconcile units, apply the approved preparation and barcode rules, confirm carton information, inspect the finished shipment, and release it only against the correct Amazon destination labels.
Treat the shipment plan as the controlling instruction
Amazon describes FBA as a program in which sellers send inventory to Amazon's fulfillment network for storage and order fulfillment. Before that handoff, the seller must create the shipment and prepare, pack, and label the inventory as required.
Requirements can differ by product, condition, barcode setting, marketplace, and shipment. A warehouse should therefore work from the current Seller Central output and approved SKU instructions. A previous shipment, a supplier's usual method, or a generic checklist should not override the files for the shipment being prepared.
The seller should retain control of the Amazon account and confirm which labels or documents may be shared with the prep team.
Build a complete pre-arrival data pack
Preparation becomes unreliable when goods arrive before the warehouse knows what they are. Send a controlled data pack before supplier delivery. It should identify:
- seller and shipment reference;
- supplier and expected arrival details;
- SKU, ASIN where applicable, FNSKU or approved barcode method, and product name;
- expected unit and carton quantities;
- product dimensions, weight, condition, and batch or expiry data where relevant;
- unit preparation, kitting, set, bagging, cushioning, or warning-label instructions;
- quality-check scope and acceptance criteria;
- approved unit and carton label files;
- Amazon destination and shipment identifiers when available;
- escalation contact and actions the warehouse may not take without approval.
Use version numbers or dated file names. If a label file changes, withdraw the earlier version explicitly.
Receive and reconcile before labeling
The first warehouse decision is whether received goods match the advance information. Count cartons and units to the agreed level, check visible condition, and confirm that the SKU identity can be established. Record shortages, overages, damaged packaging, mixed items, or missing marks before the goods enter the preparation flow.
Quarantine uncertain stock. Applying an FNSKU to the wrong variation can create a clean-looking but incorrect shipment. A photo record, discrepancy list, and approval trail let the seller resolve supplier issues while the facts are still visible.

Apply unit preparation by SKU
Amazon's official guidance separates barcode and labeling work from packaging and product-specific preparation. That distinction is useful operationally: first confirm the identity method, then protect and contain the unit, and finally ensure the correct barcode remains readable on the outside.
Barcode control
Determine whether the SKU uses an eligible manufacturer barcode or an Amazon barcode according to the seller's current settings and Amazon instructions. When an FNSKU label is required, match it to the specific SKU and condition. Check print quality, legibility, placement, and whether other scannable product codes must be covered.
Do not guess a barcode type from the packaging. The seller should provide the approved file or workflow output.
Packaging control
Confirm whether the product is a single unit, a set, or a case-packed configuration. Loose, fragile, sharp, liquid, textile, small, or other product types may require specific containment or protection. Use the current Amazon category guidance and the agreed inspection scope rather than a universal packing recipe.
The finished package should protect the product while keeping required information visible. If extra wrapping is added, recheck that the approved barcode can still be scanned without opening the package.
Product and legal restrictions
FBA prep does not establish that a product is eligible for sale, safe for transport, or admissible at destination. Dangerous goods, batteries, liquids, food, cosmetics, children's products, medical items, and other regulated categories may need additional review. Confirm product eligibility, documentation, carrier acceptance, and destination rules separately before release.
Control cartons and shipment labels
After unit prep, reconcile the packed quantity to the shipment plan. Record which SKUs and quantities are in each carton, then confirm carton dimensions and weight using the agreed method. Mixed-SKU and single-SKU cartons must follow the relevant workflow selected in Seller Central.
Apply the current shipment labels to the correct cartons only after the destination and carton plan are approved. Remove or cover obsolete transport labels and unintended scannable codes when required by Amazon's instructions. A second-person check should compare the physical carton, carton contents, and final label reference before release.
Use a release gate before pickup
A useful release gate answers four questions:
- Does the physical unit match the approved SKU and condition?
- Does the unit preparation match the current written instruction?
- Do carton contents, dimensions, weight, and labels match the shipment record?
- Has every discrepancy been resolved or explicitly accepted by the seller?
The warehouse should retain the agreed evidence, such as count sheets, label samples, exception approvals, and carton photographs. Evidence scope should be defined in advance; “inspection included” is too vague to establish what was checked.
FBA prep checklist for sellers
- Create or confirm the shipment in the correct Seller Central account and marketplace.
- Export the current SKU, barcode, preparation, carton, and destination instructions.
- Send expected quantities and supplier delivery references before arrival.
- Define inspection depth and acceptance criteria.
- Identify restricted or regulated products for separate review.

- Quarantine unidentified, damaged, or discrepant stock.
- Match each FNSKU or approved barcode method to the correct SKU and condition.
- Verify product-specific packing and set requirements.
- Reconcile carton contents to the shipment plan.
- Confirm final carton measurements, weights, and destination labels.
- Approve exceptions before pickup and retain the release record.
What to confirm with a China prep provider
Ask where the work will occur, which product types the facility can accept, how files are version-controlled, what the inspection does and does not cover, and how rework is approved. Confirm who creates the shipment plan, who supplies Amazon labels, who books transport, and what proof marks the handoff complete.
FBA prep reduces preventable preparation errors only when the seller, supplier, warehouse, and transport provider use the same current instructions. Amazon retains its own receiving decisions, so no prep provider should guarantee acceptance. The practical goal is a traceable, shipment-specific release that the seller can review before inventory leaves China.
