A shipment can have a low freight price and an expensive arrival. Hidden costs in China shipping usually become visible when the quotation's scope is compared with what actually happens at collection, customs, the terminal and final delivery. Build that comparison before booking, while the parties can still change the plan.

Follow the cargo through the quotation

Take a hypothetical shipment of mixed cartons from two factories to a buyer's warehouse. A port-to-port ocean price covers only one part of that movement. Collection from the second factory, consolidation, export handling, destination release and delivery may sit elsewhere in the bill.

Create a charge map with three statuses. Included means the quotation names the charge and its scope. Excluded means another party will pay it. Unresolved means nobody has supplied an answer. An empty cell belongs in the third category, even if the heading says all-in.

Check the named origin and destination precisely. A destination city is not necessarily the buyer's street address. A terminal delivery price does not automatically include an appointment, unloading equipment, a residential location or a delivery attempt that must be repeated.

Separate delay charges by the event causing them

Demurrage commonly concerns cargo or equipment remaining at the terminal beyond the applicable free period. Detention commonly concerns carrier equipment retained outside the terminal. Storage can be a separate charge. Definitions and combined charging arrangements differ, so use the relevant tariff and contract rather than relying on those labels alone.

Ask when free time starts, whether it uses calendar or working days, and what action stops the clock. Record release requirements, pickup availability and the empty-return location. A booking that allows collection only after several documents arrive can consume part of the available window before the truck is ready.

For U.S. trades, check the Federal Maritime Commission's current detention and demurrage guidance and the applicable rules when assessing an invoice or dispute. Preserve the invoice and the event records needed for that review; U.S. guidance is not a global free-time allowance.

Rework begins with information that looked harmless

A wrong carton dimension can change chargeable weight. An incomplete address can trigger a correction. Mixed SKUs without a clear carton map can require extra warehouse work. A label applied to the wrong surface may require relabeling before the receiving party accepts the shipment.

These costs are preventable only when the receiving specifications are known before packing. Send the warehouse an approved SKU list, label files, carton requirements and any appointment instructions. When using FulfillNexa by SBT for China-side preparation, define which checks are included and which exceptions need approval before chargeable rework begins.

Request evidence with exception bills. A measured dimension, damaged-carton photograph or documented rejected label is more useful than a vague extra handling line. Agree who can authorize additional work and the spending limit for urgent cases.

Price the failure scenario as well as the normal one

Consider two otherwise comparable offers. One includes a longer release window and a defined destination contact. The other has a lower base price but leaves release handling unresolved. The lower price is not necessarily worse; it requires a different operational plan.

Model one missed pickup, one customs information request and one failed delivery attempt. Use the quoted charge basis for each event. If no amount is available, keep the exposure visible as unresolved rather than inserting a convenient zero.

Maersk's rate-request conditions are one example of carrier terms distinguishing an estimate from additional charges and applicable price-calculation conditions. The practical lesson is to obtain the conditions attached to the actual offer, not to assume that every carrier follows the same arrangement.

Reconcile the invoice while the evidence is available

Match every final line to the booking, tariff or approved exception. Identify the service date, unit, quantity, currency and payer. A surcharge quoted per shipment cannot be reconciled properly if the invoice silently applies it per carton.

Keep disputes specific. State the line being challenged and attach the booking scope, relevant event and requested correction. Escalating the entire invoice as hidden fees can obscure the charge that is actually wrong.

The strongest cost control is a shipment file showing what was purchased, what changed and who authorized the change. It turns a surprise bill into an accountable decision instead of an argument about what all-in was supposed to mean.
