Inventory storage in China can be priced by pallet position, bin, occupied volume or another agreed unit. The cheapest quoted rate is not necessarily the cheapest arrangement. Receiving restrictions, unused allocated space, inventory holds and retrieval work can change the bill substantially.

Compare offers using the same stock profile and billing boundary. A storage-only price should not be presented as a complete fulfillment cost.

Describe the inventory before requesting space

Provide carton dimensions and weights, pallet configuration, SKU count, expected stock levels and replenishment frequency. Identify fragile goods, leakage risks, declared batteries and any manufacturer-approved storage conditions.

Explain the order pattern. Full-pallet releases, case picking and single-unit ecommerce picking need different access and replenishment arrangements. A dense storage layout that suits long-term pallet holding may be unsuitable for frequent small orders.

State ownership and stock status requirements. Customer-owned goods, damaged stock, returns awaiting inspection and goods under commercial hold may need separate identification and access controls.

Normalize the chargeable unit

An illustrative carton measuring 0.6 × 0.4 × 0.35 metres occupies 0.084 cubic metres by external dimensions. One hundred such cartons have a nominal carton cube of 8.4 cubic metres. That does not necessarily equal the warehouse’s billable allocation.

A pallet arrangement may leave height unused or require clearance and access. A bin rate may include a minimum space allocation larger than the product itself. Ask whether billing uses measured goods, allocated locations, peak occupancy, daily balances or an average over the period.

Compare like with like. If one offer charges for pallet positions and another for carton cube, document the physical packing assumptions used to convert between them. Do not treat an untested stacking pattern as guaranteed capacity.

Separate storage from movement charges

Request individual lines for unloading, receiving checks, putaway, replenishment, counting, picking, packaging, dispatch and exceptional work. Specify any minimum monthly bill and the treatment of part-month storage.

For an illustrative quote comparison, offer A has a lower storage rate but charges each replenishment movement separately. Offer B includes a defined amount of replenishment work. The result depends on how often the SKU is picked and how much stock fits in its pick location.

Calculate two scenarios using the same inventory: a slow-moving stockholding month and a promotion month with frequent replenishment. That comparison reveals whether the lower rent merely shifts cost into warehouse movements.

Keep unavailable stock visible

A physically occupied location may contain goods that cannot be sold. Shopify’s inventory-state guidance provides a clear distinction between physical stock and quantities available for sale.

Apply that distinction to storage reporting. List held stock by owner, reason, quantity, age and chargeable space. Agree who can approve release, return to supplier or disposal. Otherwise unavailable goods can continue generating storage cost while disappearing from the team’s sales-focused view.

Use cycle counts and discrepancy records to explain inventory adjustments. A changed quantity without a transaction reason makes both the operational balance and the storage invoice harder to verify.

Verify specialist conditions separately

Bonded storage, temperature-controlled storage and handling of restricted products require specific acceptance and facility evidence. A general warehouse description does not establish those capabilities. Do not infer them from an attractive photograph or a broad list of product categories.

Review access, loading arrangements and material-handling risks during a site or documented operational assessment. The US OSHA warehousing overview is a useful general hazard reference; China facilities must be assessed against their applicable local requirements.

Before signing, request a sample invoice generated from the proposed stock profile and a sample inventory report showing available and held goods. Resolve the differences between the quote, the physical storage plan and the invoice rules. That reconciliation is the clearest basis for comparing storage offers.
