Connecting Shopify to a China warehouse should begin with a defined fulfillment workflow, not an app installation. The store and warehouse need to agree which locations and products participate, when an order can be released and how the result returns to Shopify.

Use a staged setup so a successful connection test cannot accidentally release every live order or expose held inventory for sale.

Approve the operating rules first

Identify the store, fulfillment location, eligible products, destinations and accepted parcel routes. Define the treatment of unpaid, held, cancelled and partially fulfillable orders.

The seller should approve customer-facing delivery settings and commercial decisions. The warehouse follows accepted instructions and returns evidence; it should not invent a store’s shipping rates, cancellation policy or return promise.

Document a stop procedure before go-live. The team needs to pause new releases without losing accepted orders or reversing work already completed.

Map products and locations with physical examples

Match Shopify inventory items and variants to warehouse SKUs, units and pack counts. Test several visually similar variants and any bundles before synchronizing their quantities.

Choose the location mapping deliberately. Goods at a China receiving area, goods under inspection and approved saleable stock may share a building while requiring different permissions.

Record the quantity authority and update method. Shopify’s inventorySetQuantities reference describes comparison controls for absolute quantity setting. The connector should use the appropriate supported API contract rather than blindly overwriting newer stock states.

Confirm the fulfillment-request process

Determine whether the provider’s app and the store’s configuration support the intended fulfillment requests, acceptance and status updates. Do not assume that every generic order-export app implements a fulfillment-service workflow.

Shopify’s Flow fulfillment-request action specifically depends on third-party fulfillment service apps. Availability of an automation action does not establish that an arbitrary warehouse can receive or execute it.

Define what happens when the provider rejects a request or a product is not eligible. Those orders need a visible state and owner rather than remaining in an apparently successful automation log.

Test the difficult events

An illustrative order is received and accepted, but its acknowledgement is lost. A retry must not create another pick task. Then send a cancellation after picking begins and verify that Shopify receives the actual outcome rather than a false automatic cancellation.

Also test a split order, an unknown SKU, a stock hold and a delayed carrier event. Confirm that one parcel’s tracking does not complete unrelated outstanding lines.

Verify incoming messages using Shopify’s current webhook guidance. Record event identities and processing results so the team can investigate and replay safely without exposing unnecessary customer information.

Reconcile before expanding to live volume

For the test cohort, compare Shopify orders and available quantities with warehouse reservations, picks, packed units and remaining stock. Investigate differences at the transaction level.

Start with a controlled product and destination range approved by the seller. Observe ordinary orders and exceptions, then expand after the mappings, instructions and recovery process are accepted.

Review the app’s permissions and data handling. Grant access appropriate to its functions and use an approved credential process; shared spreadsheets and customer-facing reports are not places for integration secrets.

Keep later changes controlled

Reassess the integration when the seller adds a bundle, changes a location, installs another inventory writer or updates the provider’s app. A new connector can interfere with an existing stock authority even if both applications work individually.

If a returns app is added, configure a real accepted receiving process. FulfillNexa’s overseas delivery points are not local return or inspection addresses.

Maintain an acceptance record containing the mapped identifiers, approved release rules, successful test outcomes and pause procedure. That record allows the next change to be evaluated against the actual operating design, rather than relying on the fact that the app once connected successfully.
