Choose the resolution before giving a return address
Returning a low-value parcel internationally can cost more than the goods recovered. That does not mean every buyer should receive a refund without return. It means the seller needs a decision based on the complaint, product value, condition, safety and applicable consumer obligations before issuing instructions.
Separate a discretionary change-of-mind request from a defective, incorrect or undelivered order. Record the sales channel and destination rules that apply. A logistics procedure cannot override the buyer's legal rights, and a customer-service agent should not improvise those rights from the freight price.
Find out what could actually be recovered
Request proportionate evidence of the issue and confirm the SKU and original shipment. Photographs can help distinguish damaged packaging, a wrong item and a functional fault, but do not demand evidence the buyer cannot reasonably provide or delay a required remedy merely to complete an internal file.
Decide what would happen after receipt. Could the item be safely resold, repaired, used for parts or returned to the supplier? An opened cosmetic, damaged electrical product and unused garment have different recovery paths. Do not count the original retail price as recoverable value if the returned item cannot enter saleable stock.
Use a hypothetical recovery calculation with your actual estimates: expected recoverable value minus return carriage, import handling, inspection, refurbishment and disposal. Include the probability that the item is not recoverable. The result supports an operating choice; it is not a substitute for the customer's entitlement.
Select a return route the seller can support
Returning to China can make sense for higher-value goods, supplier investigation or consolidated repair work. Confirm that a named receiver can accept the goods and arrange any applicable China import process. Being the original exporter does not automatically establish tax-free re-entry or permission to import a used or restricted product.
A destination return partner can shorten the buyer's journey if a contracted service is actually available. Verify the receiving address, inspection scope, storage charges and disposal authority. Do not advertise an owned local return center on the strength of a third party's mailing address. The buyer needs an address that is authorized for this case and capable of handling the product.
For a refund without return, record the reason and stock disposition. Do not ask a buyer to place potentially unsafe goods into ordinary waste or a normal parcel network. A damaged battery or contaminated product may need a local, compliant disposal route and specialist advice.
Issue usable, accurate shipping instructions
Specify the authorized return reference, receiver, packaging requirements and approved transport service. Tell the buyer whether a prepaid label is provided and who pays the agreed charges. Avoid asking the buyer to declare a false gift or zero value to reduce customs costs.
If the item travels by air, reassess dangerous-goods acceptance in its returned condition. The IATA dangerous-goods resources provide the transport framework; an item accepted when new may require different treatment after damage. The original outbound label is not a return authorization.
Retain the tracking number and acceptance evidence. Distinguish label creation from actual dispatch, and agree which event triggers the refund or further review under the applicable customer policy. Where Shopify's fulfillment workflow is used, keep the order and return records connected rather than creating an unrelated stock adjustment.
Inspect into a held status
On receipt, identify the original order, photograph the condition and compare contents with the authorized return. Hold the item outside saleable stock until the agreed checks are complete. Receiving a parcel does not establish that the product is safe, authentic or complete.
Record the approved outcome and any supplier debit or insurance claim separately from the buyer's remedy. Customer resolution should not disappear into a long carrier dispute. For transport damage, preserve the packaging until the relevant investigation permits disposal; otherwise useful evidence can be lost.
Review the causes across completed cases: wrong-item releases, packaging failure, misleading product information or buyer preference. A return policy controls the remedy, while this cause record shows where the seller can prevent the next avoidable return. The useful metric is resolved cases and recoverable value after all costs, not the number of parcels successfully sent back to China.
