Sourcing from Yiwu and shipping small lots internationally requires careful control of vendor identity, product variants and packing. Several inexpensive purchases can become difficult to consolidate when their receipts, cartons and approved specifications cannot be connected.
Plan the receiving record while buying, rather than reconstructing it after goods from multiple vendors arrive together. A booth reference is useful for locating a seller, but it is not by itself proof of manufacturer identity or export responsibility.
Record the commercial counterparty
For each purchase, retain the actual seller’s identity, order reference, approved product description, quantity, price and agreed handoff terms. Verify the party receiving payment through the buyer’s approved purchasing process.
Distinguish stock available for immediate release from goods requiring production, customization or replenishment. A display sample does not establish that an entire ordered quantity is finished or identical.
Where branding or protected designs are involved, obtain the appropriate authorization and product evidence from the responsible parties. A warehouse cannot resolve uncertain intellectual-property or product-compliance questions by changing the outer carton.
Keep minimum orders separate by vendor and variant
Ask whether the minimum applies to the style, color, size, pack or artwork version. Do not assume that buying several unrelated items together satisfies a minimum for each one.
An illustrative purchase seeks 120 units across four colors. A minimum of 100 units per color creates a different commitment from a 100-unit minimum for the mixed style. Record the accepted split in the order rather than relying on a display assortment.
Include extra stock, samples and substitutions only after buyer approval. Unexpected units may occupy space and complicate documents even when the seller presents them as a helpful addition.
Specify the warehouse handoff
Issue receiving references that connect each vendor’s cartons to its purchase-order lines. State how mixed cartons should identify their contents and which packaging data must accompany the goods.
The ICC FCA and EXW explanation illustrates why the named origin handoff and export responsibilities need agreement. Confirm the actual arrangement rather than interpreting a casual “factory price” as a complete delivery term.
Pickup, unloading and repacking should be quoted and accepted separately where relevant. Do not assume that consolidation includes free collection or unlimited storage while other vendors finish their orders.
Reconcile receipts before combining stock
At receipt, compare quantities, product identity and condition with each approved purchase. Record short, excess, damaged and unresolved goods separately from accepted inventory.
For an illustrative mixed batch, three cartons may contain twelve variants even though the vendor’s receipt lists only one broad product name. Resolve the variant map before those cartons are opened and recombined for export.
GS1’s SSCC guidance provides one way to identify logistics units. An agreed internal carton system can also work if the original-to-final packing relationship remains traceable.
Choose the export movement from verified cargo
Compare accepted products, finished dimensions, weight, destination and readiness. Small-lot purchases may suit parcel, freight or a consolidated movement depending on those details; the market of purchase does not determine the shipping mode.
Request a quote with the delivery boundary and exclusions stated. Include the cost of resolving discrepancies, repacking and waiting, rather than treating the main transport price as the entire sourcing-logistics cost.
Prepare final commercial and packing information from the accepted goods. Keep unsent or held quantities visible against the original vendor orders.
The completed buying file should allow someone who did not attend the market to identify each seller, explain each accepted variant and reconcile the shipment. That record is what turns a collection of small purchases into a manageable international order.
