A suitable partner should define who receives each SKU, how inventory is reconciled, what packing rules apply, who approves exceptions, which party owns customs data, and how proof is returned to your team.

Start with your operating model

Before contacting providers, write down the flow you actually need. A company importing pallets to one destination has different requirements from a seller releasing individual orders across several channels. The 3PL should be evaluated against that real flow, not a generic service list.

Preparation and packing rules

Preparation must be driven by written specifications. These can include unit labels, carton labels, protective packing, kitting, repacking, measurements, or inspection checkpoints. The provider should identify which requirements come from your marketplace or carrier and which are internal warehouse controls.

For each rule, agree on the version, approval owner, acceptable evidence, and response when an item fails. This prevents an old label file or supplier assumption from becoming the warehouse instruction.

International handoff and customs data

A 3PL may coordinate freight, but the commercial parties still need to agree on responsibilities. Incoterms define selected delivery obligations; they do not replace product classification, valuation, admissibility, permits, taxes, or destination-specific rules.
